We keep the books for small businesses and the firms that serve them: monthly close, reconciliations, catch-up and cleanup, all in QuickBooks Online. Grounded in sound accounting principles and a disciplined monthly close.
- QuickBooks Online
- Flat monthly pricing
- Books only, no tax
What we do
Three ways to work with us. Each one is the same promise: clean, reliable books you can hand to a tax preparer without a wince.
Monthly bookkeeping
The complete monthly close. Every bank and credit card transaction is categorized, every account reconciled to the statement, adjusting entries posted with documentation, and your financial reports delivered with a plain-language summary of the month. Books close within five business days of receiving your documents.
Transaction categorization, bank and card reconciliations, chart of accounts, adjusting entries, P&L, balance sheet, cash flow, A/P and A/R agings, year-end package for your tax preparer
Catch-up and cleanup
Behind by months or years? We start with a $175 diagnostic review and a written memo: what is broken, how many months are affected, and exactly what it costs to fix. Then a flat-fee cleanup per month or per year of backlog, so monthly service always starts on clean books.
$150–$225 per month of backlog, or $1,500–$3,500 per year for a full rebuild, quoted in writing before work begins
Bookkeeping for CPA and tax firms
Remote bookkeeping capacity for firms that would rather not staff it in-house: recurring monthly work for your clients, overflow during busy season, or cleanup projects before tax prep. Books only, never tax, so we're straightforward to bring into your operation.
Recurring engagements, overflow capacity, cleanups with a preparer-ready report of what was fixed
How the monthly close works
A fixed five-day rhythm, from statements in to reports out. Every file goes through the same checklist, every month.
-
Day 1
Gather
Statements collected for every account, third-party payouts pulled, and your documents confirmed complete. Nothing starts half-finished.
-
Days 1–3
Categorize and reconcile
Every transaction is posted and categorized, and every account is tied to its statement. Differences are researched and resolved, not parked.
-
Days 3–4
Adjust and report
Recurring adjustments are posted with memos, and your reports are reviewed line by line, with a month-over-month sense check before anything reaches you.
-
Day 5
Deliver
A second-pass quality review, then your P&L, balance sheet, cash flow, and aging reports, with a one-page plain-language summary. The books close.

Who we are.
Whales Bookkeeping is a remote bookkeeping company grounded in sound accounting principles. We maintain accurate, organized books through consistent categorization, reconciliations, month-end reviews, and clear financial reporting.
Our work goes beyond entering transactions. We review the accounting behind the numbers, identify items that need attention, and explain everything in plain language so business owners and accounting firms know exactly where the books stand.
For CPA and tax firms
Most small tax-focused firms would rather not staff bookkeeping in-house, even when their clients need it. We take that work off your desk: recurring monthly bookkeeping for your clients, overflow capacity when the season hits, or cleanup projects before tax prep.
You get tax-ready books and a report written for the preparer: what was wrong, what was corrected, and which items to confirm. Books only. No tax preparation, no tax advice, and no competing for your clients.
Questions
Do you handle taxes?
No, bookkeeping only. Monthly close, reconciliations, and cleanup. If you need tax preparation or tax advice, we'll package your books so your CPA or tax preparer has everything they need.
What software do you use?
QuickBooks Online. We've completed QuickBooks training and passed competency testing in the platform. Document exchange happens through a secure portal, never by email.
How fast is the turnaround?
Books close within five business days of receiving all of the month's documents. Cleanup timelines depend on the backlog and are quoted in writing after the diagnostic review.
What if my books are months or years behind?
That starts with a $175 diagnostic review: we look at your file and send a written memo listing what's broken and what it costs to fix. Then a flat-fee cleanup, and monthly service begins on clean books.
How do we start?
Send an email. Tell us about your business and where your books stand. If we're a fit, we'll have a short introductory call, send an engagement letter, and get your first month underway.
Tell us about your books.
A few lines about your business and where your books stand is all it takes to start. We'll write back and tell you honestly whether we're a good fit.
